01Who we are
Language Solution Asia ("LSA", "we", "us") provides translation, localization, interpreting, voice-over, and AI language and speech data services. Language Solution Asia is a brand of Agenmation OÜ, which is the company responsible for your data (the data controller):
Agenmation OÜ
Järvevana tee 9, 11314 Tallinn, Estonia
Registry code: 17524457 (Estonian Business Register)
Privacy and legal contact: [email protected]
Data Protection Officer: Andy Monsma, Agenmation OÜ ([email protected])
This policy covers languagesolution.asia, LSA Talent (talent.languagesolution.asia), LSA Audio (audio.languagesolution.asia), our translation platform, and the services we provide to clients by email, file transfer or in person.
02Our two roles
Data protection law treats us differently depending on whose data it is:
| Situation | Our role | What it means |
|---|---|---|
| Content a client sends us to translate, transcribe, subtitle, voice, annotate or review (text, audio, video, images) | Data processor for the client | The client decides why the data is processed. We follow the client's written instructions, our service agreement and any Data Processing Agreement (DPA). Questions about personal data inside that content should go to the client first; we will help them respond. |
| Linguists, talent and data participants who register with or work for LSA | Data controller | We decide how your registration, payment and project data are used, and this policy applies to you directly. |
| Speech, video or language data we collect from participants for an AI data project | Controller while collecting; data is then delivered to the client, who becomes the controller of their copy | Before you take part, the project consent form names the client (or client type), purpose, data types and retention, and links to this policy. |
| Website visitors, enquiries and client contacts | Data controller | We use your contact details to reply, provide quotes and manage the relationship. |
03What we collect
a. Client content
- Text and documents: source files, translations, glossaries, translation memories, style guides, scanned documents processed with OCR.
- Audio: recordings, voice-overs, interviews, calls and meetings for transcription, translation or quality review.
- Video: footage for subtitling, dubbing, transcription or annotation, including any people, voices or locations visible in it.
- Outputs: transcripts, subtitles, segmentations, labels and annotations we create from the above.
b. Linguists, talent and data participants
- Identity and contact: name, email, phone, country, date of birth or age confirmation.
- Professional profile: languages, dialect or accent, qualifications, experience, CV, test results and quality scores.
- Project data: recordings of your voice, video of you or your surroundings (only where a project requires it), transcripts, task history and reviewer feedback.
- Demographic data that some AI data projects need, such as age range, gender, region or native language. We only collect this when the project requires it and you agree.
- Payment and tax: payout details handled through our payment provider (we see your payout account email or reference, not your card), invoices, and tax identifiers where the law requires them.
- Referral data if you refer someone or are referred.
c. Clients, prospects and website visitors
- Name, company, email, phone, and messages sent through our forms or by email.
- Technical data: IP address, browser, device, pages visited and session data needed for login.
04How we use it and why
| Purpose | Data | Legal basis |
|---|---|---|
| Deliver translation, transcription, voice, subtitling and data services | Client content, project files | Contract with the client; processing on the client's instructions |
| Register linguists and participants, match them to projects, run tests | Profile, languages, test results | Contract / steps before a contract |
| Record speech, video or language data for AI data projects and deliver it to the client | Recordings, transcripts, project demographics | Explicit consent (for each project) |
| Quality control and review | Outputs, scores, reviewer feedback | Contract; legitimate interest in quality |
| Pay contributors and referral bonuses, keep accounts | Payout and tax details, work records | Contract; legal obligation (tax and accounting) |
| Respond to enquiries, send quotes, manage clients | Contact details, messages | Legitimate interest; contract |
| Keep our platforms secure, prevent fraud and duplicate or fake contributions | Login, device and usage data | Legitimate interest; legal obligation |
| Send news about new projects or services | Consent. Unsubscribe at any time. |
05AI data projects and AI tools
If you contribute data
- Each project has its own consent form explaining what is recorded, who receives it, the purpose (for example training or evaluating speech recognition or other AI models), whether recordings may be shared with the client's partners, and how long they are kept.
- You can decline any project. Declining does not affect other work with LSA.
- You can withdraw consent at any time. We will stop collecting and delete recordings we still hold. Please note: data already delivered to a client and used to train a model may not be removable from that model; the consent form tells you when delivery happens, and we will pass your deletion request on to the client.
- Where possible, we deliver recordings under a participant ID rather than your name.
Client content and AI
- We use software tools including machine translation, speech recognition, OCR and translation memory to support human work. These tools run on our own servers or on providers bound by data protection terms that prohibit them from using your content to train their models.
- We do not use client content to build or train AI models, and we do not add it to shared translation memories used for other clients, unless the client agrees in writing.
- Clients can ask for a project to be handled without any machine or AI tools.
07International transfers
LSA works with linguists, participants and clients across Asia, Europe and elsewhere, so data may be transferred outside your country. Agenmation OÜ is based in the European Union, and LSA's team and many of our linguists and participants are in Asia and elsewhere. When we transfer personal data out of the EU/EEA to a country without an EU adequacy decision we use the European Commission's Standard Contractual Clauses or another safeguard allowed by GDPR Chapter V. You can ask us for a copy of the safeguards used. Clients can ask for data to stay in a specific region where we can support it.
08How we protect data
- Encryption in transit (HTTPS/TLS) and at rest for stored files.
- Role-based access: linguists see only their assigned tasks; staff access is logged.
- Confidentiality agreements for staff, linguists and reviewers; client NDAs on request.
- Secure file transfer through our platforms rather than personal email or messaging apps where possible.
- Rules against downloading or keeping client files on personal devices after a task, and secure deletion at the end of retention.
- Masking, blurring or removing personal data that a client does not need, when requested or appropriate.
- An incident process: we notify affected clients without undue delay, and the supervisory authority within 72 hours where GDPR requires.
09How long we keep data
| Data | Retention |
|---|---|
| Client content and deliverables | For the period agreed with the client, or until the client asks us to delete it |
| Translation memories and glossaries for a client | For the client relationship, deleted on request |
| Participant recordings held by LSA | Until you withdraw consent or ask us to delete them, unless the project consent form states otherwise or the law requires us to keep them |
| Linguist/talent profiles | Until you ask us to delete your account, unless the law requires us to keep some records longer |
| Payment, invoice and tax records | As accounting and tax law requires (7 years under the Estonian Accounting Act) |
| Enquiries and client contacts | Until you ask us to delete them, unless the law requires us to keep them |
| Security and access logs | As long as needed to keep our platforms secure and prevent fraud |
10Your rights
Depending on where you live, you may have the right to:
- be informed about and access your personal data, and get a copy;
- have it corrected or completed;
- have it deleted, anonymised or its use restricted;
- object to processing based on legitimate interest or for direct marketing;
- withdraw consent at any time (this does not affect processing already done);
- data portability: receive your data in a common format or have it sent to another organisation;
- complain to a supervisory authority: our lead authority is the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, aki.ee); you can also contact the authority where you live or work.
Email [email protected]. We reply within 30 days and may ask you to confirm your identity. If your request concerns content a client sent us, we will forward it to that client and help them respond.
11Age requirements
Our services and platforms are for adults. To register as a linguist or participant you must be at least 18 years old, or the age of majority in your country if higher. We do not knowingly collect data from minors. If a project needs younger speakers, we will use a separate process with verified consent from a parent or guardian.
12Changes and contact
We may update this policy as our services or the law change. We will post the new version here with a new date and, for important changes, tell registered users by email or on the platform.
